    Terms and Conditions for Independent AidCamps

  1. Acceptance of the Nature of a Independent AidCamp
    You acknowledge and accept that:
    1. The primary purpose of an AidCamp is to provide development aid to a local community in the host country and that AidCamps are not traditional package holidays where arrangements can be clearly defined at all times, and that changes to these are inevitable.
    2. Conditions will be basic and of a similar standard to those experienced daily by the local community, and unfamiliar, uncomfortable, and unhygienic surroundings are common in our project countries.
    3. Undertaking an AidCamp involves an element of personal risk and potential hazard and we cannot be responsible for damage, illness, or injury sustained during or resulting from undertaking an AidCamp.
    4. There may be no professional medical facilities locally available and medical care may be several hours travel from the AidCamp location.
    5. Whilst AidCamps International and our local partner organisation will provide you with reasonable support and assistance during your AidCamp, the ultimate responsibility for your welfare and interests remains with you at all times.
  2. Force Majeure
    You acknowledge and accept that:
    1. We are not responsible for any loss, cancellation, curtailment, damage or injury arising as a consequence of Acts of God, fire, natural disasters, weather conditions, computer or systems failure, acts of war (declared or otherwise), terrorism, civil unrest, military or usurped power, confiscation by or under the order of any government or public local authority, or for any other reasons beyond our control.
    2. We are not liable for refunds for loss or costs incurred following actions such as cancelling or prematurely ending an AidCamp as a result of advice from governmental or official bodies.
  3. Payments, Refunds, and Costs 
    You acknowledge and accept that:
    1. Your registration fee is refundable only if we cannot offer you an AidCamp according to your stated requirements within 10 days and you choose not to enrol into our Volunteer Matching Service, or if an agreed AidCamp is cancelled due to reasons under our control.  It will not be refunded if you cancel or fail to make the necessary donations by the due dates.
    2. Enrolment into the Volunteer Matching Service lasts for one year or until you accept a placement or have rejected two placements fitting your stated requirements, whichever comes first.
    3. The first part of the minimum donation must arrive three months in advance of the commencement of the AidCamp and the second part three weeks in advance, or earlier if agreed, or immediately for applications after these dates. British Gift Aid amounts received on donations are not eligible towards the minimum donation amounts required.
    4. All donations are non refundable unless the AidCamp is cancelled due to reasons under our control and the funds have not already been expended to finance the development aid goals of the AidCamp. In any case only personal donations up to the total minimum donation amount are refundable. British tax-efficient at source donations, e.g. by "charity cheque" or CAF CharityCard, are non refundable under any circumstances.
    5. Registration fees paid by credit or debit card over the internet require a £4 processing surcharge which is non refundable.  All donations by credit or debit card will be subject to a non refundable processing fee of up to 4%.
    6. For non-internet credit or debit card applications we will automatically charge the minimum donations to your card on the due dates unless we receive the donation by other means or your written notification of cancellation of participation in the AidCamp before that date.
    7. The registration fee covers only the arrangement of your AidCamp and UK based support. Neither the registration fee nor the donations cover any material benefit whatsoever, and all other costs, as detailed but not limited to those described on our web site and/or in our information pack, are your responsibility.
  4. Insurance and Documents
    You acknowledge and accept that:
    1. We do not provide insurance cover for you or your possessions. We are not liable for the loss, wear and tear, or damage to any personal items. You acknowledge the importance of securing appropriate and comprehensive travel insurance for your trip.
    2. You are required to have suitable travel health insurance to participate in any AidCamp. The insurance should cover emergency repatriation costs and include an international emergency help line.
    3. It is your responsibility to ensure that you have the necessary tickets, documents, visas, vaccinations, certificates, et cetera to enter and stay in the host country.
    4. Any information given by us about flights, visas, healthcare, vaccinations, climate, clothing, equipment, conditions and other matters is given in good faith but without responsibility on our part.
  5. Participation and Behaviour
    You acknowledge and accept that:
    1. You will be expected to perform tasks and duties relevant to your agreed AidCamp under the direction of local staff.
    2. You will be expected to behave in a manner consistent with the laws and customs of the host country. If you commit any illegal acts, offend local sensibilities, put at risk the welfare or safety of yourself or others, or act in a manner detrimental to the AidCamp, AidCamps International, or our local hosts, you will be required to leave the AidCamp promptly without recourse or refund and at your own expense.
    3. In the event of you leaving the AidCamp at any time, or if our local partner organisation instructs you to leave, all support and assistance to you will cease.
  6. Confirmation and Declaration
    In making your application you confirm and declare that:
    1. You are in good health and do not know or suspect of any reasons that would make it unwise for you to join an AidCamp, and agree to our contacting your doctor or medical advisor if we deem necessary
    2. You will inform us in writing of all medical complaints, hereditary problems, previous trauma or dietary requirements in advance whether or not you believe they will affect your participation on an AidCamp, and you will inform us in writing of all changes in your health arising in the months prior to the AidCamp.
    3. You are over 18 years old, if unaccompanied, and have no financial or legal restrictions on leaving or entering any country.
    4. You agree to disclose your criminal record and our checking of it with the relevant authorities.
    5. You have read all of the information available on our website and/or in our information pack and understand and accept the costs, terms and conditions described.
    6. You accept that UK law governs your contract with AidCamps International.
